Austin MBAConference
Successfully planned and executed a high-impact sponsor event during the MBA Annual Convention, aligning executive priorities with attendee experience while managing a complex, multi-day program
Challenge:
The client needed to host a seamless, engaging 3-day leadership offsite for 200 MBA attendees and sponsors, ensuring clear executive scheduling, sponsor engagement, and high-quality attendee experience while managing a $30,000 budget.
Approach:
As the event lead, I developed a phased planning timeline, sourced and negotiated with Hotel Van Zandt, managed vendor coordination for catering and AV, and created detailed executive scheduling for leadership and speakers. I also oversaw sponsor activations to ensure alignment with event goals and brand standards while maintaining clear communication with stakeholders.
Key Highlights:
✅ Cocktail reception at Café 605
✅ 75 hotel room bookings for team
✅ Scheduling for 8 Executives and speakers
✅ Full-day meal planning for 3 days
✅ Delivered under the $30,000 budget
Outcome:
Delivered a seamless, high-quality experience for 200 attendees, enabling effective sponsor and leadership networking while maintaining a polished brand presence. All logistics—including executive schedules, sponsor activations, and hospitality—were executed without disruption, enhancing the firm’s industry visibility during the nation’s largest mortgage banking event. The event was completed under budget, with sponsors and attendees providing positive feedback on the event’s organization, flow, and professionalism.
